Billing | Customer Splits
The customer splits option is used when setting up a company for the first time or making changes in partnership allocation of expenses. It allows you to split the costs into many parts. Sometimes partners within a farm or company need separate billings and at different percentages. Customer Splits allows you to process these splits on this screen.
You can access the Billing | Customer Splits Menu option with a mouse by moving the cursor to Billing on the menu bar and click with the left hand mouse key. You can access the Billing Menu without a mouse by pressing the F10 KEY and using the arrow keys from the keyboard. Next select Customer Splits and the following screen is activated.

The Billing | Customer Splits screen allows you to input the following information:
| Company Name | Enter the name of the company to receive the billing. |
| This Partner | Enter the name of the first partner to be billed. You can come back later and fill out additional information on the other partners in the split billing. |
| Taxpayer I.D. | Enter the taxpayer I.D. number of this partner. |
| Phone | Enter this partners telephone number. |
| Address | Enter this partners address. |
| City, State, Zip | Enter the City, State, and Zip Code for this partner. |
| Company Record | Selecting this option brings up the following subscreen to help clarify customer billing splits. Company record creates one bill.Bill Partners Directly sends a bill to each partner. |
| Event/Materials Percent | Enter the event/material percentage to be charged to this partner. |
| Rig Percent | Enter the rig percentage to be charged to this partner. |
| Applicator Percent | Enter the applicators percentage to be charged to this partner. |
| Other Charges Percent | Enter the percentages of other charges to be applied to this partner. |
| Special Allocation | Click on each of the items in the special allocations box to include them in the invoice. |
Billing | Invoice Charges
The Invoice Charges option allows you to create invoices which include single events or multiple events. These charges are created from the input screens of each of the event options. Each charge has entries for unit charges, extended charges, and total invoice charges.
When you search for unbilled charges from this screens button bar, all charges for each company are listed and allocated according to the customer splits previously set up.
You can access the Billing Menu with a mouse by moving the cursor to Billing on the menu bar and click with the left hand mouse key. You can access the Billing Menu without a mouse by pressing the F10 KEY and using the arrow keys from the keyboard. Next select Invoice Charges and the following screen is activated.

Invoicing Editing Button Bar

| Auto Search | Allows you to search for all companies on record. Select the one you want to work with by moving the cursor to highlight that company and click with the mouse or hit the enter key. |
| Search | This button allows you to search for all unbilled charges for the company selected in the auto search previously. |
| Pause | Pauses a search. |
| Stop Searching | Selecting this option stops your search. |
| Create Invoices | Once you have completed entering the charges selecting this option will create an invoice for the current screen. |
| Cancel Invoices | Selecting this option will cancel the invoice creation. |
To input information on the Billing | Invoice Charges screen click on the appropriate field with your mouse, or press TAB to advance to each new data field. To move to a previous data input area press the SHIFT and TAB KEYS.
The Billing | Invoice Charges screen is a preview screen that allows you to make any necessary adjustments. The following information is displayed.
| Cutoff Date | The cutoff date or last date included in this billing. |
| Company | The company name. The auto search button at the top allows you to search for all companies entered previously. |
| Event | The type of event being billed. |
| Charge Date | The date of the event. |
| Time | The time of the event. |
| Charge Description | This option allows you to write a brief description of each event to appear on the invoice. |
| Event | The event being billed. |
| Rig | The name of the rig used for this billing charge. |
| Applicator | The applicators name for this billing charge. |
| Other Charges | Any other charges by name that you want to include in this invoice. |
| Unit Names | The unit names for billing purposes, e.g. Hours, Gallons, Pints, Acres. |
| Units | The number of units used for this charge. |
| Unit Charges | The amount charged per unit. |
| Amount Charged | The total amount charged. Should equal the number of units times the unit charges. |
| Amount to Invoice | The total amount to invoice if different than the amount charged. |
| Totals | The total amount of the invoice. |
Billing | Process Invoices
Selecting this option will recall all invoices to be processed and printed. It also serves as a last chance preview before printing each invoice. You can override any item on this screen or issue specific discounts if running promotions.
You can access the Billing Menu with a mouse by moving the cursor to Billing on the menu bar and click with the left hand mouse key. You can access the Billing Menu without a mouse by pressing the F10 KEY and using the arrow keys from the keyboard. Next select Process Invoices and the following screen is activated.

To input information on the Billing | Process Invoices screen click on the appropriate field with your mouse, or press TAB to advance to each new data field. To move to a previous data input area press the SHIFT and TAB KEYS.
The Billing | Process Invoices screen is a preview screen that allows you to make any necessary adjustments. The following information is displayed.
| Starting Invoice Number | This number is displayed in the upper lefthand corner of the screen and is provided by the program. |
| Company | This is the company that will receive this invoice. |
| Invoice Date | This is the date to appear on the invoice. |
| Calculated Invoice No. | The program will create a new invoice for a company with multiple invoices created during this processing segment. |
| Invoice Description | This option allows you to type in a short description of this invoice. |
| Company Discounts | This option allows you to generate company discounts for temporary or promotional situations. |
| Total Invoice | The program calculates the totals for this invoice. |
| Partner Name | This box lists a partners name for this invoice if there is a customer split for this company. If there is just a company record, then no partners name will be shown. |
| Event Description | This box describes the specific event being invoiced. This comes from the Invoice Charges screen. |
| Charge Date | This box lists the charge date. It comes from the Invoice Charges screen. |
| Partner's Pct. Share | This box lists the Partner's Percentage Share of the invoice. This information comes from the Customer Split screen. |
| Partner's Discount Pct. | This box allows you to enter a Partner's Discount Percentage for this invoice. |
| Partner's Net Invoice | This box lists the Partner's Net Invoice amount for this invoice. |
| Share of Charge | This box lists the Partner's Share of Charge for this invoice. |
Invoice Detail
Invoice detail provides information if you checked the box on Customer Splits and allows you to custom design or make changes on an invoice. This section has a scroll bar at the bottom because there are several items available. The first section displays the Partners name, date of transaction, event units, % share, event amount, and discount. The next section is displayed below.

You can access the Reports | Customer Summaries Menu with a mouse by moving the cursor to Reports on the menu bar and click with the left hand mouse key. You can access the Reports Menu without a mouse by pressing the F10 KEY and using the arrow keys from the keyboard. Next move the mouse cursor to the Customer Summaries section and click on the item needed.
